Being a team coordinator is a very important job FOR a team.
A team coordinator's job is to be the go between,
between the manager and the team parents.
Team Coordinator information and duties
SPAGHETTI FEED
Each year the league holds the league Spaghetti Feed fundraiser. Tickets are sold, lunch is served, and raffles are run. It is the first get-to-know your team gathering where team jerseys and hats are handed out as well as the release of the game schedule.
You will be responsible for passing out order forms to your players, collecting the money, and turning it in on the scheduled day.
You will also be in charge of making a prize basket to raffle off at the spaghetti feed. You collect money from each player for the basket then you put it all together. The bigger and better the basket, the more money the league makes off raffle tickets! We suggest at least a $10 fee from each player.
Each TEAM is also asked to bring a dessert to the spaghetti feed, enough to feed 12 people. This can be delegated to another team parent.
LEAGUE FUNDRAISERs
Each year the league has a fundraiser to sell Worlds Finest Chocolate and/or other snacks to raise money.
You will be responsible for handing out the chocolate boxes to each of your players. You will need to collect each player's money once sold and turn it in on the scheduled day. Candy will be handed out at the official Team Coordinators meeting.
Usually the leaguewould sell tickets to the Oakland A's Little League Day during the season, but now the A's have left Oakland. We are exploring other option including the SF Giants LL Day, Oakland Ballers Day, and Saint Mary's Baseball Day. We will spread the word if we take part in these fundraisers.
TEAM BANNER
As Team Coordinator you will be in charge of collecting money from each player and getting a banner ordered or making one home made!
Banners are hung near the dugout each game and carried in front of your team walking in the Opening Ceremonies Parade!
You can order a banner from anywhere you choose (suggestions will be given out at the Team Coordinators meeting) if you order your team apparel from Mo Sports you will get 50% off.
If you’re crafty you can make it yourself. There is a prize for the best HOME MADE banner at the Opening Day Ceremony, judged by the league board. Any board member affiliated with your team may not vote for your team.
We suggest at least a $10 fee from each player.
TEAM HOODIES
If your team is interested, you will be in charge of coordinating the order of custom team hoodies and apparel.
You can order from anywhere you choose (suggestions will be given at the Team Coordinators meeting).
Team apparel is entirely optional, but this is usually a very popular program.
Try to place your orders as soon as possibleto avoid backlogs and delays at the shops. Aim for having your team hoodies by the Opening Day Parade.
OPENING DAY
Each year the league holds an Opening Day Ceremony complete with a League wide team parade.
You will be in charge of making sure your team knows where and when to meet at the "old Mervyn’s parking lot" at Hesperian and Paseo Grande that morning. You can help get them lined up and ready for the parade to start.
You are part of the team and can walk in the parade!

TEAM PHOTO DAY
As Team Coordinator you will be in charge of passing out the picture order forms (they will be given out at the Team Coordinators meeting).
Make sure the team has an exact meeting spot at the fields on photo day and arrives EARLY!
Everyone needs to be there even if they aren’t buying photos so they will be in the free team photo.
Have everyone line up in height order, shortest to tallest. Make sure everyone has an order form (even if they’re not buying). Check to make sure they have clean faces and their flies are up. Walk your team to the front of the line 5 minutes before your picture time in order.
Being a team coordinator gets you a free buddy picture of you and your player!
Snack bar duty
Most of our league’s money comes from our snack bar.
Our snack bar is the best this side of the Mississippi! Without our parents help we will not be able to open the snack bar and the league will lose a major source of funding.
Each team is required to volunteer in the snack bar 2-3 weeks during the season.
There will be one shift that needs to be covered on Monday and Wednesday from around 4:30pm-8:30pm and three shifts on Saturday.
You will be assigned the weeks your team must cover during the Team Coordinators meeting.
As Team Coordinator, you will be in charge of informing your team parents which days you were assigned and scheduling parents to cover the required shifts.
Each player should have a family member or representative share in the team's duty.
score booth
When your team is the home team, your team is required to have an official score keeper in the score booth.
When your team is the visiting team, your team is required to have an announcer in the score booth.
NO ONE UNDER 16 year old is ever allowed in the score booth.
You will be responsible for making sure each of your games has an announcer or score keeper.
It is suggested that you find 1-2 dedicated score keepers from your team and they can rotate if they want. The league holds a score keeper training clinic and has score keeping resources to study for anyone new to score keeping!
It is also suggested you find 1-2 dedicated announcers from your team and they can rotate if they want.
If there is NO Score Keeper for your home game the team Manager will be required to leave the field and score keep in the score booth. They cannot coach are assist as official score keeper.
Tee Ball does not require a score keeper and announcer is optional, but fun!
SPONSOR REPORTER
As a way to thank our team sponsors we like to keep them updated throughout the season on how their team is doing.
There is a form we use to fill out the highlights from each game. You will get this form at the Team Coordinators meeting. The forms get turned in to our league sponsor rep and they will send them to the team sponsor.
It is suggested that you find one dedicated parent to be your team sponsor reporter.
TEAM MEALS
Each player should provide team meals (after game team snack) 1-2 times during the season. Once the game schedules have been released you can make your own schedule for team meal duties.
The best way to do this is to go in alphabetical order.
Another great way you can support our league is to order team meals from our snack bar. You can pre-order and pay in advance too for your convenience.
TEXTS and team management apps
Your manager may message you to get info out fast to your team.
Make sure you collect all the players parents phone numbers and add them to your phone for easy access.
Many teams use free team sports management apps like TeamSnap or GameChanger. These apps are a very helpful way to stay organized, create a central team calendar, and message everyone on one platform.
Team Management apps are by far the best way to send out team news and reminders. Regular SMS texts can be buggy with large text groups and may get chaotic. Team management apps gather everyone on one platform and you will have the ability to delete unwanted messages, create smaller groups, and keep messages isolated in one app.
TEAM GIFTS
At the start of the second half of the season you will be in charge of collecting money from your players and buying your team staff gifts. At least a $20 fee is suggested.
Team staff includes: Manager and coaches. You may want to consider gifts for other team volunteers, such as: score keepers, announcers, sponsor reporter, dugout or warm up helpers.
SLZLL does not award trophies to all teams in all divisions. Some teams choose to order their players awards (small trophies, medals, plaques, etc.) to commemorate a successful season. Check with your division rep if your team will be provided an end of season award or placement trophy.
Team gifts are encouraged to be given out during your end of season team party at our closing day barbecue.
CLOSING CEREMONY AND END OF YEAR BARBECUE
One of your last duties will be informing your team parents of the date and time of the league Closing Ceremonies and Barbecue. Aiming for all players and families to attend the last big event of the year.
You will be in charge of setting up your team party at the closing day barbecue.
You can have your team bring their own canopies, chairs, folding tables, etc. and have them set it up in a certain location around the SLZLL property. After the Closing Ceremonies ends you can all gather at your team location, get your food, hand out team staff gifts and enjoy the rest of the days festivities.
